Departments and Members

Administrators can manage the enterprise organizational structure through departments and members. After members join the enterprise, administrators can assign departments, roles, and device permissions to them.

Overview

What Is a Department?

A department is an organizational unit in AskLink Business used to manage members according to the enterprise's actual structure, such as R&D department, finance department, or operations group.

Administrators can use departments to organize member affiliation and can also map department levels to the enterprise's internal organizational structure.

What Is a Member?

A member is a user who has joined the enterprise, usually corresponding to an employee or collaborator of the enterprise.

Members can be assigned to departments and use corresponding functions and access Controlled devices according to their roles and permissions. Administrators can also invite, disable, delete, and audit members.

What Is the Relationship Between AskLink Accounts, Members, Departments, and Enterprises?

• One AskLink account can join multiple enterprises and has one member identity in each enterprise;
• One enterprise can have multiple departments, and one department can have multiple sub-departments;
• One department can have multiple members, and one member can also belong to multiple departments;
• Which functions a member can use and which devices a member can access are determined by the roles and device permissions assigned by the administrator.

Create a Department

1. Select Departments and Members in the left navigation bar;
2. Select a department from the department list;
3. Click the More button on the right side of the content area title;
4. In the expanded menu, click Add Sub-department;
5. Enter the department name and click Confirm.

After completion, the new department appears under the selected department.

Invite Members

Administrators need to invite members to join the enterprise first. Before members join the enterprise, they cannot use the AskLink Business Controller to access enterprise devices.

1. Select Departments and Members in the left navigation bar;
2. Click the More button above the department list;
3. In the expanded menu, click Invite Members;

4. Fill in the member information and click Send Invitation.

After completion, the member will receive an SMS or email invitation. After the member accepts the invitation and joins the enterprise, the administrator still needs to assign roles and device permissions to the member.

Administrators can view members who have been invited but have not yet joined in the member list, and perform the following operations:

• Revoke Invitation: Cancel the current invitation link;
• Invite Again: Send the invitation to the member again.

Disable or Delete Members

Administrators can disable or delete members who have joined from the member list.

• After a member is disabled, the member cannot continue logging in to the current enterprise until re-enabled;
• After a member is deleted, the member is removed from the current enterprise.

Administrators can also select multiple members in the member list and disable or delete them in bulk.

Notes

• Inviting a member only lets the member join the enterprise; it does not mean the member can already access devices;
• After a member joins the enterprise, the administrator still needs to assign roles and device permissions to the member;
• Deleting a member may affect the member's ongoing enterprise usage flows. Before performing the operation, confirm that the member no longer needs access to enterprise resources.
